Our Zip coders access your clinical system remotely through our secure HSCN connection which contains the NHS standard security and firewall. 

How much access does Zip Code have to your clinical system?

The Zip Coders can only see what you allow us to see. You choose the rights to access and remain in control.

We stay up-to-date with NICE guidelines, industry standards, and compliance guidelines. Our coding experts meticulously follow these guidelines to ensure accurate and compliant clinical coding practices.

Are we Cyber Essentials certified?

How do we keep data secure?

All data is viewed, processed and completed on your clinical system. No data is copied or removed from your system meaning your data is always safe and secure.

What happens to the paper envelopes?

They are shredded under BS EN 15713 once you approve the digital copies, or returned empty if you prefer.

How long does a batch of 5 000 envelopes take?
Ten working days on-site plus three days for coding and EPR upload.
Is the service DSP Toolkit compliant?

Yes. Processing stays within UK Azure data centres and meets NHS DSP Toolkit requirements.

Do you limit staff access to the archive?

No. Any authorised practice user can search the digital files without extra licence fees.

Can you handle fragile or damaged envelopes?

Yes. We follow NHS governance for fragile documents and provide flatbed capture where needed.

Are there hidden fees?

No. Pricing is per envelope. Optional storage, accelerated turnaround or weekend work are quoted up-front.

Can you code new incoming mail as well?

Yes. We offer a rolling correspondence and coding package that dovetails with the archive migration.

Which clinical systems are supported?

EMIS Web, SystmOne, Docman and Vision.

Do you need on-site space?

A small room or corner for two scanners and prep tables during the project window.

Is there a minimum contract term?

No. Projects are scoped per archive or on a rolling monthly basis.
